Privacy Policy

Last updated: September 30, 2026

The Bullpen ("we", "us", or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have.

1. Information We Collect

  • Account information: name, email address, password, role (athlete, parent, coach, etc.), profile photo.
  • Contact details: phone number, mailing address, emergency contacts, parent/guardian details for minors.
  • Payment information: processed by Stripe. We do not store full card numbers; we retain limited billing metadata (last 4 digits, card brand, invoice history).
  • Athletic & training data: assessments, performance metrics, video, program history, attendance, notes from coaches.
  • Usage data: device, browser, IP address, log data, referral URLs, and interactions with our platform.
  • Communications: messages you send us and messages we send you (email, in-app messages, SMS).

2. How We Use Information

  • Provide, operate, and improve our services and facility programs.
  • Authenticate accounts and protect against fraud and abuse.
  • Process payments, memberships, bookings, and refunds.
  • Deliver appointment reminders, booking/account notifications, training updates, and, if opted in, promotional messages.
  • Analyze athletic performance and generate reports for the athlete and their designated coaches/parents.
  • Comply with legal obligations and enforce our Terms & Conditions.

3. Data Sharing

We share personal information only with:

  • Service providers that operate on our behalf (e.g., Stripe for payments, Twilio for SMS delivery, Resend for email, our hosting and database providers) — bound by contract and permitted to use data only to provide services to us.
  • Google Analytics, which we use to measure page visits and results such as sign-ups, bookings and purchases. Google Analytics 4 anonymizes IP addresses, and we do not send it your name, email address, phone number, or any account identifier — only the page path and title, and for a purchase the amount and product name. See Section 5 for how to opt out.
  • Meta (Facebook and Instagram), through the Meta Pixel, which we use to measure and improve our ads. It receives visits to our public pages and results such as sign-ups, form submissions, bookings and purchases (with the amount and product name), along with the cookie identifiers and the IP address and browser details that any web request carries. We do not send Meta your name, email address, phone number, birthdate, or any account identifier, and it does not see pages inside your account or athlete profiles. See Section 5 for how to opt out.
  • Coaches, trainers, and administrators at The Bullpen who need access to deliver services to the athlete.
  • Parents or guardians linked to a minor athlete's account.
  • Legal or safety requirements when required by law or to protect rights, property, or safety.

We do not sell personal information.

4. Data Security

We use industry-standard technical and organizational measures — including encryption in transit, role-based access controls, and database-level row security — to protect personal information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

5. Cookies & Similar Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, secure the platform, and understand how our services are used. You can control cookies through your browser settings; disabling cookies may limit certain features.

Google Analytics: we use Google Analytics to measure which pages are visited and how often. Google Analytics 4 anonymizes IP addresses, and we never send it your name, email address, phone number, or account identifiers. To opt out, install the Google Analytics opt-out browser add-on or block analytics cookies in your browser. Note that Google Analytics does not respond to browser "Do Not Track" signals.

Meta Pixel: we use the Meta Pixel to measure how our Facebook and Instagram ads perform and to show our ads to people likely to be interested. It sets first-party cookies (_fbp, and _fbc when you arrive from one of our ads) that last up to 90 days. If your browser sends a Global Privacy Control signal, we do not send anything to Meta. You can also manage how Meta uses this information in your Facebook ad preferences, or block these cookies in your browser.

6. Children's Privacy

Our services are used by youth athletes with parent/guardian involvement. We collect information about minors only in connection with training programs, and only with parent/guardian participation via linked accounts. Parents or guardians may review, update, or request deletion of a minor's information by contacting us.

7. SMS/Text Messaging Privacy

Phone numbers collected for SMS are used solely to deliver the messages you opted into — appointment reminders, booking and account notifications, and promotional messages (only if you separately opted in to promotional content).

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be sold or shared with any third parties.

SMS consent is not shared with third parties. We share your phone number only with the messaging service provider (Twilio) that transmits messages on our behalf, and only for the purpose of delivering the messages you requested.

You can opt out at any time by replying STOP to any SMS from us. You can get help by replying HELP, or by contacting info@bullpenbaseball.ai.

Deletion of phone number/SMS data: To request deletion of your phone number or associated SMS records, email info@bullpenbaseball.ai from the address on your account, or contact us at 269-274-4949. We will delete the phone number and associated SMS consent/history from our active systems within a reasonable period, subject to any records we must retain for legal or accounting purposes.

See our SMS Terms for the full messaging program terms.

8. Your Rights & Choices

  • Access & update: review and update account information from your profile settings.
  • Email preferences: unsubscribe from marketing emails via the link in any marketing email or in your Email Preferences.
  • SMS preferences: reply STOP to opt out of SMS, or toggle SMS notifications in your profile settings.
  • Deletion: request deletion of your account or specific data by contacting us at the email below.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of our services after changes take effect constitutes acceptance of the revised policy.
